This file, commonly referred to as a Contractor Health and Safety File, serves as a comprehensive record of all health and safety information relating to contractors and subcontractors working on a specific site such as a construction site or a client’s premises.
The file is site-specific, meaning it is developed exclusively for the particular project and location where work is being carried out. It is compiled in accordance with the client’s health and safety requirements, as well as the site’s specific safety specifications.
The contents of the file must be actively maintained and kept up to date for the full duration of the project. It must also be communicated to all personnel involved to ensure that everyone on site understands, adheres to, and complies with the applicable health and safety standards and legal requirements.
This file ensures that all relevant health and safety information required for contractors and subcontractors to operate safely on a client’s worksite or premises is consolidated into one central, structured point of reference.
By bringing all critical documentation and safety requirements together in a single file, it promotes compliance, accountability, and a consistently safe working environment across the entire project.
This file is essential as it outlines all the health and safety requirements that contractors and subcontractors must adhere to while working on site (or on the client’s premises), ensuring that safe working conditions are consistently maintained.
It clearly identifies the risks and hazards associated with the scope of work and specifies the control measures that must be implemented before any work commences. By defining these requirements upfront, the file helps ensure that all activities are carried out in a safe and legally compliant manner.
In addition, the file serves as formal evidence of compliance. It demonstrates to inspectors and regulatory authorities that the employer is meeting the applicable safety specifications and fulfilling their obligations in terms of the Occupational Health and Safety Act and its Regulations.
